Anglo Ascot Group Limited (“we”, “us”, “our”) is the data controller responsible for personal information collected through this website.

  • Company name: Anglo Ascot Group Limited
  • Registered in: England & Wales
  • Company number: 17271674

Personal information we collect

We only collect personal information that you provide to us directly, or that is strictly necessary to operate the website securely.

  • Enquiry form submissions: your name, email address, optional business or organisation, the enquiry type, the content of your message, and (for context) the page or topic the enquiry was sent from.
  • Direct email: any personal information you choose to include when emailing us.
  • Technical information: limited server and security log data such as IP address, user agent and timestamps, generated automatically when the website is accessed.

We do not knowingly collect personal information from children, and we do not use the enquiry form to collect special category data (such as health or political opinions). Please do not submit such information through this form.

How we use your information and lawful basis

Under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018, we rely on the following lawful bases:

  • Legitimate interests — to respond to enquiries you send us, evaluate potential engagements and partnerships, maintain operational records of business correspondence, and keep the website secure. We have assessed that this processing is necessary and proportionate, and does not override your rights.
  • Consent — for any optional analytics or non-essential cookies, where used. Optional cookies are only set after you choose to accept them, and consent can be withdrawn at any time (see the Cookie Notice).
  • Legal obligation — where we are required to retain records or respond to lawful requests from regulators.

We do not sell personal information, and we do not use enquiry information for marketing without your consent.

Who we share information with

We do not sell or share personal information with third parties for their own purposes. We use a small number of carefully chosen processors to operate the website and the enquiry workflow on our behalf, under written terms that restrict their use of your data:

  • Hosting & database provider — stores enquiry submissions and supports the website's database, authentication and admin tooling.
  • Transactional email provider — delivers enquiry confirmation emails to you and notification emails to us.
  • Edge hosting / CDN — serves the website and processes standard request logs for security, performance and abuse prevention.

We may also disclose information where required by law, to enforce our terms, or to protect the rights, property or safety of Anglo Ascot Group or others.

International transfers

Our processors may store or process personal information in the United Kingdom, the European Economic Area, the United States or other countries where their infrastructure operates. Where personal information is transferred outside the UK, we rely on appropriate safeguards recognised under UK GDPR — such as UK adequacy regulations, the UK International Data Transfer Agreement, or Standard Contractual Clauses with the UK Addendum — to protect your information.

Data retention

We retain personal information only for as long as is necessary for the purposes for which it was collected:

  • Enquiries that do not lead to engagement: retained for up to 24 months from last contact, then deleted or anonymised.
  • Enquiries that lead to an engagement: retained for the duration of the engagement and for up to 6 years afterwards, in line with UK record-keeping obligations.
  • Server and security logs: typically retained for a short rolling window (days to weeks) by our infrastructure providers.

We may keep information for longer where required to comply with legal, accounting or regulatory obligations, or to establish or defend legal claims.

Your rights

Under UK GDPR you have the right to:

  • access the personal information we hold about you;
  • request correction of inaccurate or incomplete information;
  • request erasure of your information in certain circumstances;
  • request restriction of, or object to, our processing;
  • request portability of information you have provided to us;
  • withdraw consent at any time, where consent is the lawful basis.

To exercise any of these rights, email contact@angloascotgroup.com. We aim to respond within 30 days. We may need to verify your identity before responding to a request.

You also have the right to lodge a complaint with the UK Information Commissioner's Office (ICO) at ico.org.uk/make-a-complaint, though we would appreciate the opportunity to address your concerns first.

Security

We use reasonable technical and organisational measures to protect personal information, including encryption in transit (HTTPS), access controls on administrative tooling, and database-level row security on enquiry records. No system can be guaranteed to be completely secure; please do not send highly sensitive information through the enquiry form.
