Bespoke business systems

Bespoke systems built around how your business actually works.

Custom operational software for UK businesses: shared records, job tracking, dashboards and purpose built applications. Scoped and quoted before any build starts.

A bespoke system is worth building when the way a business runs is the thing that makes it good, and standard software keeps asking it to work differently. Rather than bending the operation around a product, the system is designed around the process the team already trusts.

In practice that usually means one shared record for the work in hand, a clear view of where each job has reached, and the documents attached where they belong. Nothing more elaborate than the business needs.

We work with businesses in Sutton Coldfield, Birmingham and the wider West Midlands, and remotely with clients across the UK.

Where it usually starts

Signs the operation has outgrown its tools.

  • The spreadsheet has become the system

A file that started as a list now runs the business, and only one or two people fully understand how it holds together.

  • Nobody can answer where a job is

Progress lives in people's heads and in email threads, so a simple status question takes three conversations.

  • The software almost fits

An off the shelf product covers most of the job, and the rest is absorbed by manual workarounds that never get written down.

  • Reporting is assembled by hand

Month end means exporting, pasting and reconciling before anyone can look at a number with confidence.

What we build

Purpose built software, sized to the problem.

Each build is different. These are the components that come up most often, agreed piece by piece in the scope.

  • A single operational record

One place where the job, the customer, the documents and the current stage all live, visible to the people who need them.

  • Business management tools

Purpose built screens for the day to day work: intake, scheduling, approvals, stage changes and the rules that go with them.

  • Dashboards and reporting

A quiet view of the handful of figures that actually drive decisions, drawn from the live records rather than a manual export.

  • Document handling

Uploads, generated paperwork and signed forms stored against the job, searchable, with a record of what changed and when.

  • Integration with existing tools

Connections to the accounting, scheduling or payment tools already in place, where the integration is technically supported.

  • Documentation and handover

Source code, written documentation and training for the people who will run it, to whatever the contract sets out.

Common questions

Practical answers before you write in.

Why build rather than buy something off the shelf?

+

Often you should buy. Where an existing product fits the way you work, we will say so. Building makes sense when the product almost fits and the gap is filled by manual work, duplicate entry or a rule the software cannot express.

How is a build scoped and priced?

+

Work is broken into defined phases with a fixed scope and a fixed quote per phase. Changes to scope are explicit, costed and approved rather than invoiced afterwards.

What happens to the system after it is built?

+

Ownership, source code, licensing of any third party components, hosting and ongoing support are all set out in the scope and contract before the build begins.

Do we have to replace everything at once?

+

No. Most builds start with the single part of the operation causing the most friction, and connect to the tools already in use around it.
