Custom CRM and internal tools

Customer records and internal tools, scoped to one business.

CRM style systems, dashboards, portals and internal interfaces built for a single operation rather than sold as a general product.

A custom CRM is not an attempt to out build the large commercial products. It is a narrower thing: the customer and job records one business relies on, in the stages that business actually uses, with the screens its team needs and nothing they will never open.

That is usually the right call when the general purpose product is mostly unused, when the sales or service process does not fit its shape, or when the records that matter live in several tools at once.

Work is scoped and quoted first, and what the system covers is written down before the build begins.

Where it usually starts

When a general purpose CRM stops helping.

  • Most of the product goes unused

The licence covers a great deal of functionality, and the team touches a small corner of it while still working around the rest.

  • The stages do not match the work

The pipeline was designed for a different kind of business, so everyone keeps a private note of what is really happening.

  • Customer detail is scattered

Part of the record is in the CRM, part in an inbox, part in a folder, and reconciling them is somebody's weekly job.

  • Reporting needs an export first

Any question about volume, conversion or workload means downloading a file and rebuilding the answer by hand.

What we build

The records and screens your team will actually use.

  • Customer and contact records

One structured record per customer, with the history, documents and notes attached to it instead of scattered around it.

  • Pipelines and stages that match reality

Stages named after the work your team does, with the rules and prompts that keep the record honest as jobs move.

  • Internal dashboards

A working view for each role: what is waiting, what is late, what needs a decision today.

  • Portals for customers or partners

A limited outside view where it removes work, showing only what that person is permitted to see.

  • Roles and permissions

Access agreed up front, so sensitive records stay with the people who are supposed to hold them.

  • Integration where it is supported

Links to accounting, email or scheduling tools already in use, where those tools expose a supported interface.

Common questions

Practical answers before you write in.

Is this a replacement for a commercial CRM?

+

Not in general. Established CRM products carry years of features, and where one fits you should use it. What we build is scoped to a single business: the records, stages and screens that business needs, without the parts it does not.

Can it work alongside a CRM we already pay for?

+

Often yes. Where the existing product supports it technically, an internal tool can read from or write to it so the team works in one place rather than two.

Who can see what?

+

Access rules are part of the scope. Roles, permissions and what each type of user can view or change are agreed before the build rather than decided late.

What about our existing data?

+

Moving existing records in is treated as its own piece of work, scoped and quoted with the rest. We will be plain about what can be migrated cleanly and what cannot.
